Spectra Reserve — Merchant Privacy Policy

This policy describes how Spectra ("we", "us") processes personal information when you and your establishment (restaurant, bar, or other venue) use Spectra Reserve and related merchant-facing services. It applies to business users (owners, managers, staff with dashboard access) and to information about your establishment. It should be read together with our Privacy Policy for guests who book through Spectra Reserve, where applicable.

1. Who is responsible?

Spectra Tech Corp. and its affiliates operating Spectra Reserve act as a controller for merchant account and platform data described below. Depending on your region and the processing activity, your establishment may also act as a controller (for example, for guest lists and notes you enter). Where we process guest data only on your instructions to provide the service, we may act as a processor; your own privacy notices and agreements with guests remain your responsibility.

2. What we collect (merchants)

We may collect:

  • Account and contact details: names, work email addresses, phone numbers, and roles for users you authorize to access the dashboard.
  • Establishment profile: business name, address, phone, branding assets, reservation settings, integrations (e.g. POS or payments where you connect them), and similar configuration data.
  • Operational data: reservations, table assignments, messages sent through the platform, staff actions logged for security and audit, and support communications.
  • Technical data: IP address, device/browser type, cookies or similar technologies, and diagnostic logs needed to operate and secure the service.

We do not use this policy to describe unrelated Spectra consumer products; this notice is scoped to Spectra Reserve merchant use.

3. How we use merchant information

We use personal information to:

  • Provide, maintain, and improve Spectra Reserve (including authentication, hosting, and customer support).
  • Send service-related communications (security alerts, product updates that affect your account, billing where applicable).
  • Protect against fraud, abuse, and security incidents.
  • Comply with law and enforce our agreements.

Marketing: We may send optional product or promotional emails to business contacts where permitted; you can opt out of non-essential marketing as described in the message or by contacting us.

4. Sharing

We may share information with:

  • Service providers who assist us (hosting, email/SMS delivery, analytics, payment infrastructure) under contractual safeguards.
  • Integration partners you enable (for example, when you connect a third-party system), subject to their terms and your configuration.
  • Authorities when required by law or to protect rights, safety, and integrity.

We do not sell personal information for money as traditionally defined in U.S. state laws.

5. Retention

We retain merchant and operational data as long as your account is active and as needed to provide the service, comply with law, resolve disputes, and enforce agreements. After closure of an account, we may delete or anonymize data within a reasonable period unless a longer period is required by law or legitimate business needs (e.g. fraud prevention).

6. Security

We implement technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; please protect your credentials and use strong access controls for staff accounts.

7. International transfers

We and our subprocessors may process data in Canada, the United States, and other countries where we or they operate. Where required, we use appropriate safeguards for cross-border transfers.

8. Your rights

Depending on applicable law, business contacts may have rights to access, correct, delete, or export certain data, or to object to certain processing. To exercise rights or ask questions about merchant data, contact support@joinspectra.com. We will respond as required by applicable law.

9. Changes

We may update this policy from time to time. We will post the revised version on this page and revise the Last updated date below. Material changes may be communicated through the product or by email where appropriate.
